OBit Solutions — Privacy Policy
This Privacy Policy describes how OBit Solutions (“OBit Solutions,” “we,” “us”) collects, uses, and shares personal information in connection with the OBit Solutions software platform (the “Service”) and our websites. It applies to visitors to our sites, prospective customers, and individual users of the Service.
Important — data we process for our customers. The Service is business software used by organizations (our “Customers”). Most data in the Service — contact and company records, communications, tasks, deal and financial records — is submitted by a Customer and processed by us on that Customer’s behalf (“Customer Data”). The Customer, not OBit Solutions, decides why and how Customer Data is processed. If your information appears in a Customer’s OBit Solutions account (for example, you are a contact or client of one of our Customers), the Customer is responsible for that data; please direct privacy requests about it to that organization. We support our Customers in meeting their obligations as described in our customer agreements and Data Processing Addendum.
- INFORMATION WE COLLECT
Account information. Name, business email address, password (stored as a salted hash — we never store plaintext passwords), role, and organization membership.
Usage and log information. Sign-in attempts (successful and failed), originating IP addresses, device and browser (user-agent) information, session activity, and audit logs of actions taken in the Service. This logging is a security feature of the Service and is disclosed to users in our End User License Agreement.
Customer Data. Information our Customers and their users submit to the Service, which may include names, contact details, communications content, and financial information such as bank account details, payment records, and credit information, processed on the Customer’s behalf.
Support and communications. Messages you send us, support requests, and related correspondence.
Website data. If you visit our public websites: pages viewed, referring URLs, and analytics data. ____________________________________.
- HOW WE USE INFORMATION
We use personal information to: provide, operate, secure, and support the Service; authenticate users and prevent unauthorized access, fraud, and abuse (including the access logging described above); bill and manage accounts; respond to inquiries and provide support; maintain audit trails required by our security architecture; improve the Service, including through aggregated, de-identified usage statistics that do not identify any person; comply with law; and enforce our agreements. We do not use Customer Data to train artificial-intelligence models, and we do not sell personal information or share it for cross-context behavioral advertising.
- HOW WE SHARE INFORMATION
We share personal information only:
(a) with service providers (subprocessors) that help us operate the Service — such as hosting infrastructure, email delivery, SMS/telecommunications carriers, and payment/ACH partners — under contracts restricting their use of the information to providing services to us (current list available on request at ____);
(b) with the Customer that controls the account in which the data resides, including its administrators (who can see audit logs identifying users’ actions);
(c) for legal reasons — to comply with law, enforceable governmental requests, or court orders, to enforce our agreements, or to protect the rights, safety, and security of OBit Solutions, our Customers, or others; and
(d) in connection with a business transaction such as a merger, acquisition, or sale of assets, subject to this Policy. We do not sell personal information.
- SECURITY
We maintain administrative, technical, and organizational safeguards designed to protect personal information, including per-organization tenant isolation, role-based access control, encryption in transit (TLS), hashed credential storage, multi-factor authentication support, audit logging, and restricted, individually attributed support access. No system is perfectly secure; we encourage strong passwords and multi-factor authentication.
- RETENTION
We retain account information for as long as the account is active and as needed afterward for legal, security, and billing purposes. Customer Data is retained per our agreement with the Customer: after a subscription ends, Customer Data is available for export for a defined retrieval window, then deleted from the active Service and from backups in the ordinary course of backup rotation, except where retention is required by law. Access and audit logs are retained for security and evidentiary purposes for at least __ months.
- YOUR RIGHTS AND CHOICES
Depending on where you live, you may have rights to access, correct, delete, or receive a copy of your personal information, and to opt out of certain processing. If your data is in a Customer’s account, we will refer your request to that Customer and assist them as their processor. For information we control (such as account and website data), contact us at ____; we will respond within the time required by applicable law and will not discriminate against you for exercising your rights. You may also have the right to appeal a denial and to lodge a complaint with your state’s attorney general or data protection authority.
Marketing. If we send marketing emails, you can opt out via the unsubscribe link; transactional and security messages (such as sign-in alerts) are not marketing and cannot be opted out of while you hold an account.
- CHILDREN
The Service is business software and is not directed to children under 18. We do not knowingly collect personal information from children. If you believe a child has provided us personal information, contact us and we will delete it.
- INTERNATIONAL USERS
The Service is hosted in the United States. If you access it from outside the U.S., your information will be transferred to and processed in the U.S. ____________________________________.
- CHANGES TO THIS POLICY
We may update this Policy from time to time. Material changes will be announced through the Service or by email before they take effect.
